Termos de prestação de serviços
Em vigor desde 14 October 2026
Versão prelaunch-2026-10-14-v3
Yuteki is an application for organising work, projects and data. A private preparation stage is under way before the public launch. The operator may close public self-service registration. Existing users continue to use their accounts and workspaces in line with their permissions, and authorised persons may invite employees, collaborators and client users. Public pages, the waiting list and valid sharing links may work during this period. These terms are a version prepared before the public launch and may be updated before the start; every version has a mark and a date.
1. Service provider and contact
The service is run by Michał Piłat, an entrepreneur entered in CEIDG, NIP 9222839601, REGON 542359454. Place of business: Jatutów 90, 22-400 Jatutów, Polska. Address for service: Rabindranatha Tagore 5A/54, 93-503 Łódź, Polska.
Contact on matters of the service, privacy and security: biuro@yuteki.eu. Do not send a password or access tokens in your message.
2. User, account and conclusion of the agreement
The product is intended for persons who are at least 18 years old: entrepreneurs, organisations and private individuals. It may be used for professional work or for one's own affairs. It does not require running a business. A person's account and a workspace are separate; one person may belong to several workspaces.
Creating a new account through the available self-service registration or a valid invitation requires account data and a declaration of legal age. Existing accounts are not automatically required to declare it again when joining another workspace. The declaration is not a verification of an identity document. Access to protected functions requires confirmation of the email address. The scope of access depends on membership, role, permissions and the visibility of the specific resource.
The agreement for the provision of electronic services is concluded when the account is created: after the registration form is submitted, or after an invitation to a workspace is accepted and the account is created. The agreement is concluded for an indefinite period, and using the free account requires no payment. Browsing public pages and signing up to the waiting list do not require an account and do not create an agreement for running an account.
Do not share your account or password with other people. Password reset and two-factor authentication are available. MCP tokens and sharing links require protection appropriate to the scope they open.
3. Technical requirements and scope of functions
Using the application requires a device with internet access, an up-to-date browser with JavaScript and session cookies enabled, and an active email address. WebSocket connections are used for real-time communication. Push notifications depend on browser support and permissions. Two-factor authentication requires an application that generates TOTP codes.
Yuteki lets you manage tasks, projects, CRM contacts, messages, comments, files, planning, working time, settlements, proposals and reports. The availability of some functions depends on the module. The workspace administrator manages access. A link between an agency and a client may allow authorised agency persons permitted reads and changes in the client panel; it is not a view-only access.
4. Free account, subscription and payments
Every agency starts on the free account. It covers the core functions: tasks and the kanban board, time tracking, comments, the planner and team availability, roles and permissions, chat, the company drive, notifications and access for AI assistants over MCP. The free account is free for a team of up to 3 people and has 100 MB of space for files. Members of the agency count towards the limit, including the owner. Client portal users, the AI assistant bot and invitations not yet accepted do not count. The free account does not expire and does not require card details. Not having an active paid module does not close the account or the workspace.
Beyond the free account you may buy: seats for further people (also without any module), paid modules or packages of modules, and additional disk space in whole gigabytes. The price of a module depends on the size of the team. When a package covering the selected modules is cheaper than the sum of the modules, the package price is charged and the workspace gets all of its modules. Some modules require another module, which is shown when ordering. The current prices, the contents of the packages and the prices of seats and disk space are shown in Settings → Subscription, and the amount to pay in the preview of the order before the payment.
Prices are net prices. VAT at the applicable rate is added to every payment and shown in the preview of the order together with the gross amount. An agency seated in another member state of the European Union that has entered that state and its EU VAT number with the prefix of that state in the workspace details pays without VAT and accounts for the tax itself (reverse charge) - from the moment the number is confirmed in the EU VIES database. The operator checks the number when it changes and periodically, and keeps the result of the check as proof. Until it is confirmed, and when VIES does not confirm the number, VAT is added, as it is when the state of the seat in the workspace details does not match the prefix of the number. The agency is responsible for the number being correct; when it turns out to be invalid, the operator may charge the VAT due.
The subscription may be paid for 1, 3, 6 or 12 months. A longer period gives a discount on the whole subscription, shown when ordering. Fees are charged in the currency chosen in the workspace settings (PLN or EUR); a change of the currency applies from the next billing period. Payments are handled by the imoje integration. The subscription renews for another period of the same length and is charged to the saved card until an authorised person switches the renewal off.
Adding a module, seats or disk space during a period takes effect at once and costs a proportional part of the price for the days left until the end of the paid period. Fewer seats or less disk space, cancelling a module and a change of the period length take effect from the next renewal and give no refund for the current period. A change of price does not change the amount of a period already paid. Introducing a new renewal price requires prior notice; the adopted process provides for at least 30 days. Until the new price is agreed, we do not quietly apply it to an existing renewal.
Cancelling the next renewal leaves what was bought available until the end of the paid period. When a renewal is not paid, a 3-day period of additional access applies; after it the paid modules switch off and the paid seats and additional disk space stop counting. The free account remains, and data is not deleted merely because a module or the subscription has expired. This does not start the workspace closure procedure.
Trial
The person who manages the subscription may start a free 14-day trial once. During it the workspace has every module, the limit of people does not apply, and the AI assistant - once it has been made available (section 7) - has 100 analyses to use. A trial can be started once for a given workspace and once per person: it cannot be started again by a person who has already used one in any workspace, nor by anyone in a workspace whose owner has already used one. The trial does not renew on its own and causes no charges. When it ends, the trial modules switch off at once, without a period of additional access, and the workspace goes back to what it has bought or to the free account. A trial cannot be started while the workspace has a paid period.
Limit of people and disk space
When an agency has more people than the free account together with the bought and granted seats covers, and no trial is running, the workspace and the portals of its clients become read only. Everyone then sees a notice that the limit has been exceeded. Data can be viewed, and managing users and roles, settings, deleting files, reports and buying seats or modules keep working, so that a person can be removed or seats can be bought. Creating and changing other data, also over MCP, is suspended until the number of people and seats match. After a failed renewal the read-only mode starts only after the period of additional access.
Once the disk space is used up, no new files can be added until the workspace frees space or buys more disk. Existing files are not deleted for this reason.
The operator may agree individual terms with a workspace, including granting modules, seats or disk space free of charge for a fixed or an indefinite time. An item granted for a fixed time requires an ordinary purchase once that time ends.
AI assistant
The AI assistant module is not part of the packages. Its price grows with the number of other paid modules of the workspace, and the subscription includes a monthly number of analyses that depends on the size of the team. Additional analyses can be bought once in packs. Analyses can be used only once the operator makes the AI assistant available (section 7). The order screen shows the details.
Refunds and payment complaints
Matters of cancellation, incorrect charges and refunds may be reported to the operator's contact. If a payment arrives for a period that has meanwhile already been paid, it is not applied automatically: the operator refunds it through the payment gateway or, in agreement with the workspace, adds the paid period after the current one. We give no guarantee of the time it takes a bank or payment provider to post a refund. The provisions of these terms do not limit the rights of a consumer or of other persons protected by mandatory provisions of law.
5. Content and sharing
Enter data that you have the appropriate rights to use, and limit it to the necessary scope. Do not enter unnecessary health details or other particularly sensitive data in notes, messages, tasks or files. It is forbidden to violate the law and the rights of others, to circumvent security measures, to use other people's accounts or tokens, or to disrupt the operation of the service.
Yuteki does not require the transfer of ownership of your content to the operator. The application stores, displays and processes it to the extent of the functions you use. Access by the team, the client and recipients results from settings and permissions. The rules on rights to content are not a guarantee that copyright arises in every AI output.
The organisation that creates a workspace and enters personal data into it is the controller of that data, and the operator processes it on the organisation's behalf under the Data processing agreement. The data processing agreement forms part of these terms and is concluded when the workspace is created.
An authorised person may create a public link to a file or proposal. The holder of a valid link may gain access within its scope, subject to the security settings, expiry and revocation that have been set. The link itself does not confirm the identity of the recipient. After an export or file is downloaded, its further storage also takes place outside Yuteki.
6. Termination of the agreement and workspace procedures
You may terminate the agreement at any time by deleting the account in the profile settings after entering the password. The owner of a workspace must first transfer its ownership to another member. If the account cannot be deleted in the settings, for example because employee settlements have been issued, the agreement can be terminated by a message to the contact address.
The operator may terminate the agreement with 30 days' notice sent to the account's email address. In the event of a gross breach of these terms or the law, in particular circumventing security measures, using other people's accounts or disrupting the operation of the service, the operator may terminate the agreement with immediate effect, stating the reason.
Switching off a module, leaving a workspace, deleting a person's account and ending a workspace are different actions. Deleting an account does not mean automatic deletion of all shared content, work history or settlements. The owner of an active workspace may transfer ownership to an authorised member.
The standard ending of a workspace starts a 90-day recovery mode. The owner may use permitted reads and existing exports and resume the workspace before the deadline. Ordinary creation and modification of business data is suspended in this mode. The available exports have their own scope; they are not a complete archive of all data or an automatic fulfilment of a personal data portability request.
After 90 days the workspace loses the possibility of ordinary resumption and awaits further handling of deletion. The current version does not perform automatic physical deletion of data.
Permanent deletion of a workspace is available only for testing at this stage. After the owner's request a 7-day cancellation window follows, and then the workspace is blocked until retention rules are determined. The current version does not perform a physical purge of data.
None of these deadlines is a promise to delete every copy from email, exports, backups and external services. Data requiring separate retention, including financial or evidentiary data, is considered separately.
7. AI and integrations
The built-in AI assistant serves to help with projects and work organisation. It may analyse selected tasks and messages, publish auxiliary questions and reminders, and create proposals. A proposal from the chat is turned into a task by an authorised human. The function is not intended for HR scoring, ranking employees or decisions on hiring, dismissal, promotion, remuneration or penalties.
The results require checking and may be incorrect or incomplete. Actually sending data to the Claude API requires activation by the operator and meeting the conditions of access, module, settings and acceptance in the workspace. By default the adapter is switched off. The scope of content and the provider's rules are described in the AI notice.
MCP is a separate path of programmatic access. A token gives read access and, where applicable, permitted changes within the granted scope, in the assigned workspaces and with current permissions. It can be revoked; changing or resetting the password also revokes tokens. Data previously retrieved by an external tool does not automatically return to Yuteki after access is withdrawn.
8. Security and specific threats
Using services provided over the internet involves typical threats: malware on the device, phishing, that is messages or pages impersonating the service in order to obtain the password, unsolicited messages (spam), interception of data on an unsecured network and unauthorised access to the account, for example after a password used in another service has leaked.
To limit these threats, use a strong password not used in other services, turn on two-factor authentication in the account settings, keep the system and browser up to date, check the page address before logging in and log out on shared devices. The operator does not ask for your password or 2FA codes in messages. Report a suspected unauthorised access to the contact address.
9. Availability, support and complaints
At the current stage we do not offer an SLA or a guarantee of a specific availability or support response time. Failures, maintenance work and urgent security actions may occur. This does not limit obligations arising from the law.
Complaints about the service can be submitted by email to biuro@yuteki.eu. In the complaint, provide the account's email address, a description of the problem and the expected way of resolving it. The operator handles a complaint within 14 days of receiving it and sends the response by email to the address it was sent from, or to another address given in the complaint.
The waiting list is used for communication related to signing up and the launch. It does not create an account, a paid order or an open-ended newsletter subscription. Further marketing requires a separate, voluntary choice, and refusing it does not limit free or paid functions.
10. Changes to the terms, governing law and disputes
The operator gives notice of a change to these terms by email or in the application at least 14 days before it takes effect, unless the change results from the law or concerns editorial matters only. If you do not accept the change, you may terminate the agreement before that date. Material changes to the terms, prices or processing require appropriate information to the persons concerned. The mere publication of a new page is not treated as automatic acceptance of every change. The documents have a marked version; operational messages about the account, security and payments are separate from optional marketing.
The agreement is governed by Polish law. For a consumer, this choice of law does not deprive them of the protection of the mandatory provisions of the country of their habitual residence. Disputes with users who are not consumers are resolved by the common court competent for the operator's place of business, and disputes with consumers by the court competent under the general rules.
